At TaxLink.ca (“we,” “us,” or “the Platform”), we are committed to protecting the privacy and security of our users. This Privacy Policy outlines how we collect, use, disclose, and safeguard your personal information in strict compliance with the Canadian Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.
1. Geographic Restrictions (Exclusion of Quebec)
TaxLink.ca currently limits its services and marketplace platform exclusively to residents of Canadian provinces and territories excluding the Province of Quebec. We do not knowingly collect personal information from, or provide services to, individuals residing in Quebec. If you are a resident of Quebec, please do not use this Platform or submit any personal information.
2. Our “No-Sensitive-Document” Design & Scope
To ensure maximum data minimization and security for Canadian taxpayers:
- Direct Transmission: TaxLink.ca does not collect, view, access, or store sensitive tax documents (such as Social Insurance Numbers (SIN), T4/T5 slips, or financial statements).
- Vendor Portals: All sensitive tax documentation must be uploaded directly to the independent accounting firm’s (the “Vendor”) independent, encrypted secure portal. TaxLink.ca merely facilitates the hyperlink connection; the Vendor acts as the sole custodian of your tax documents under their own privacy policy.
3. Information We Collect
We only collect personal information that is factual and strictly necessary to facilitate the marketplace connection and process your transaction:
- Contact Data: Full name, email address, and phone number.
- Order Details: Type of tax service purchased and your province of residence (strictly for provincial tax calculation and availability screening).
- Payment Data: Transactions are processed securely via independent third-party payment processors (e.g., Stripe, PayPal). We do not store or process your credit card numbers or banking credentials on our servers.
- No Tracking Cookies: We do not use third-party marketing, analytics, or tracking cookies (such as Google Analytics or Meta Pixel) on our website.
4. How We Use and Share Your Information
We use your information under the principle of limited consent to:
- Facilitate communications and introduce you to your selected independent tax professional.
- Process payments and generate electronic service receipts.
- Comply with applicable Canadian tax laws, anti-money laundering regulations, and other statutory requirements.
Sharing Limitations: We share your contact details only with the specific accounting firm you have explicitly chosen to hire. We never sell, rent, trade, or distribute your personal information to third-party marketers or unrelated commercial entities.
5. International Data Transfers & Third-Party Service Providers
While TaxLink.ca hosts its primary platform operations and databases within Canada, we utilize established third-party infrastructure service providers (such as Stripe or PayPal for payment processing, and security firewalls) to maintain service integrity.
Please be advised that some of these service providers may process or store data outside of Canada (such as in the United States). In such cases, your personal information may be subject to the lawful access laws of those foreign jurisdictions. We ensure all third-party vendors contractually provide a comparable level of privacy protection to that required under Canadian law.
6. Data Security
We employ rigorous administrative and technical safeguards designed to match the sensitivity of the information we hold. This includes SSL/TLS encryption for all data in transit, network firewalls, and regular security patching. However, no internet transmission is 100% secure; users should take equal care in safeguarding their login credentials.
7. Data Retention and Destruction
We retain your personal information only as long as necessary to fulfill the commercial purposes for which it was collected, or to comply with mandatory statutory retention limits under Canadian tax laws. When personal information is no longer required, it is permanently deleted from our databases or completely anonymized.
8. Your Rights and Accountability
Under PIPEDA, you maintain the right to access the personal information we hold about you, challenge its accuracy, and request corrections or complete deletion (subject to our legal data retention obligations).
